    Buying or selling a property is one of the most exciting, and stressful, milestones in life. Between contracts, conveyancers, and keys, it’s easy to treat the removalist booking as an afterthought. But poor coordination between your moving date and your settlement date can lead to expensive delays, storage fees, and a whole lot of unnecessary stress. Here’s how to get it right.

    Understand What Settlement Actually Means

    Settlement is the legal process where ownership of a property officially transfers from the seller to the buyer. It typically occurs 30 to 90 days after contracts are exchanged, though this timeframe can be negotiated. On settlement day, your conveyancer or solicitor coordinates with the bank and the other party to transfer funds and title. Only once settlement is confirmed, usually by early-to-mid afternoon, does the buyer receive the keys.

    This is the critical detail most people miss: settlement isn’t guaranteed to happen at 9am. It can be delayed by banking issues, last-minute document errors, or simple administrative backlogs. Planning your removalist to arrive at the crack of dawn on settlement day is a recipe for chaos.

    Don’t Book Your Move for Settlement Day Itself

    The golden rule: wherever possible, avoid scheduling your move on the exact day of settlement. Instead, aim to move the day after settlement is confirmed. This gives you certainty, you’ll have keys in hand, the property will be legally yours, and you won’t be sitting in a truck outside your new home waiting for a phone call.

    If moving the day after isn’t logistically possible (for example, if you’re vacating a rental on the same day), then plan conservatively. Book your removalist for the afternoon and ensure your conveyancer knows to prioritise early settlement. Have a contingency plan, like a friend’s place or short-term storage, in case things run late.

    Communicate Early With Your Removalist

    Professional removalists appreciate advance notice and clear communication. Once you have an estimated settlement date, reach out to your removalist to discuss tentative availability. Explain that the exact move date depends on settlement confirmation and ask about their flexibility policy.

    Reputable local and interstate removalists will often hold a provisional booking and adjust the confirmed date as your settlement approaches. Many are experienced with the unpredictability of property settlements and can work within a 24–48 hour confirmation window.

    Plan for Interstate Moves With Extra Lead Time

    If your move involves crossing state lines, the coordination challenge is even greater. Interstate logistics, truck scheduling, crew availability, and overnight travel require significantly more lead time than a local move.

    For example, if you’re relocating between New South Wales and the ACT, engaging Sydney to Canberra removalists well in advance is essential. Interstate teams often need to schedule multi-day jobs weeks out. A last-minute reschedule may not be possible, and you could lose your deposit or face availability gaps during peak moving periods.

    Book your interstate removalist as soon as contracts are exchanged, not when settlement is imminent. Confirm the exact dates once settlement is finalised, but secure your spot early.

    Coordinate Both Ends of the Move

    If you’re simultaneously selling one property and buying another, you’re managing two settlement dates. These may not align perfectly, leaving a gap where you’ve handed over your old keys but haven’t yet received your new ones.

    Work with your conveyancer to negotiate simultaneous or closely timed settlements where possible. If a gap is unavoidable, arrange short-term storage with your removalist and temporary accommodation for yourself. Many removal companies offer storage-on-the-truck solutions for a few days at a manageable cost.

    Build a Moving Day Checklist

    Once your dates are confirmed, create a clear checklist:

    • Confirm the settlement time with your conveyancer the day before
    • Notify your removalist of the confirmed date and expected key handover time
    • Pack non-essentials ahead of time so the team can move quickly once keys arrive
    • Have a contact number for your real estate agent and conveyancer handy on the day
    • Keep essentials (documents, chargers, toiletries) in a separate bag you transport yourself

    Settlement day will always carry some uncertainty, but with the right preparation and a flexible, experienced removalist on your side, moving day doesn’t have to be stressful.
