A drawing can open perfectly on a site laptop and still be the wrong document for the decision in front of you. It may be an earlier export, a working revision, or a file prepared for a different purpose. Successful access answers only whether you can read it.
Before leaving the studio, establish which set you are taking, what it is intended for, and where to check its status. That small amount of preparation matters more than having a large collection of drawings available somewhere on the device.
Start with the task for the visit. A client discussion, a coordination review and a construction query may call for different documents. Ask the person responsible for issuing the information which set applies, rather than choosing a file because it is the newest one you can find.
Record enough detail to recognise it: the drawing number, revision, issue date and stated purpose, using the project’s own process. These details should let a colleague identify the same document without relying on where it happened to be downloaded.
For an illustrative example, a more recent coordination drawing may contain useful changes while an earlier issued set remains the one authorised for a particular task. The date helps you trace the file; it does not make the approval decision for you.
Keep the question of status with the people authorised to answer it. A folder name or message attachment can help locate information, but it should not silently replace the project’s issue process.
Document platforms can show versions and allow teams to compare them. Those features are valuable for finding changes. They do not, on their own, tell you whether a particular version has been approved for the use you are considering.
Autodesk Docs provides a useful example of the distinction. Its documentation explains that a previous version can be promoted to become current while retaining that version’s number. The current badge therefore need not equal the total number of file versions.
Use the history to understand which file you are viewing, then check the relevant issue or approval information separately. Do not assume that the highest number, the latest upload or the file visible by default all mean the same thing.
Where two drawings differ, identify the change that matters to the visit. A comparison is most useful when you can point to the affected information and ask a specific question, rather than sending the whole team an unexplained pair of files.
Open the required documents on the device you will take. Check that the necessary views, supporting references and chosen viewer are available. If you need an offline copy, use the platform’s supported method and keep its identity and status clear.
Write down when you obtained the copy and how you will check for a later issue. A local file will not tell you about a subsequent change merely because it was correct when you saved it. Make someone responsible for communicating an update that affects the visit.
Install approved software ahead of time as well. If your practice permits a connection-privacy tool on the laptop, choose the appropriate VPN download before departure and confirm the setup. This prepares one part of the connection; it does not synchronise drawings or establish which revision is authorised.
Avoid making the site visit the first test of a new application or account. Open a non-sensitive sample if needed and check the basic workflow while support is available.
A practice may have specific requirements for accessing project information away from the studio. Follow them. A personal connection tool does not automatically provide access to the practice’s private systems, manage project permissions or meet every requirement of its information policy.
A free VPN may be suitable for an approved, limited connection-privacy task on a supported device. Its price says nothing about whether the application fits the practice’s access requirements. Confirm that role with the person responsible for the setup instead of treating any VPN as an interchangeable business service.
Document permissions and local copies need their own controls. Being connected through a tunnel does not stop an authorised user from opening the wrong revision or remove an outdated export already stored on the device.
If the laptop copy and the project system disagree, record which documents you compared and where the difference appears. Ask the responsible team member which information applies to the task before relying on it for a consequential decision.
After the visit, return notes and mark-ups through the agreed process so they remain attached to the correct drawing and revision. The useful outcome is a traceable set of information: the team can identify what you used, why it applied, and what needs to happen next.
