If you talk to construction accounting software, most of them will tell you that they did not go looking for it until something had already gone wrong. A job closes out, say, ten points below the margin that was bid, and nobody in the office can say at what point the job started heading that way. The controller spends the last week of every month rebuilding the work in progress schedule in a spreadsheet. A general ledger that was adequate at four jobs a year is no longer adequate at fourteen jobs a year.
Cost pressure is making this worse rather than better. In the Federal Reserve banks’ survey of small employer firms, seventy-seven percent of employer firms reported that rising costs, tariff-related costs, or both had been a financial challenge over the previous twelve months. When input costs move by that much inside a fixed-price contract, the software you use to track committed cost against budget is no longer an administrative detail.
We compared seven platforms that small and mid-size contractors actually put on a shortlist, and for each one we have included real pricing as well as at least one real limitation.
We limited the field to software that a contractor between roughly one million and one hundred million dollars in annual revenue could realistically buy and then actually operate. Enterprise systems that assume a full-time IT function were left out, and so were field applications that have no ledger behind them.
For each platform, we went to the vendor’s own pricing page first. Three of the seven, which are Premier Construction Software, Foundation Software and Sage, do not publish a price list on their own sites, and all three route you to a quote instead. Where we quote a figure for one of those three, it has come from a public product listing rather than from the vendor, and it should be read as indicative rather than as a quoted price. We pulled the current review score and the review count from Capterra or Software Advice, and we looked at whether the product handles the four things that construction accounting needs and general accounting does not, which are job costing at the cost code level, progress and AIA billing, retainage, and work in progress.
The order below reflects fit for a contractor who is actively choosing, and it does not reflect popularity. That is the reason the most widely used product on the list is at the bottom of it.
The government’s definition is wider than most people expect. Under the federal size standards used in contracting, most non-manufacturing businesses with average annual receipts under $7.5 million will qualify as a small business, and the construction-specific thresholds in the full size standards table run considerably higher than that figure. So a fifty-person general contractor doing $40 million a year is still, in the formal sense, a small business.
For software purposes, that band is too wide to be useful, so this guide splits it into two parts. A small contractor, for our purposes, is a firm under roughly $5 million in revenue that is running a handful of concurrent jobs, usually with one bookkeeper and an owner who is still pricing work himself or herself. A mid-size contractor is a firm from approximately $5 million to $100 million, with a controller, several project managers, and enough concurrent work that job cost data has to be current rather than reconstructed after the fact.
Enterprise construction ERP systems track five cost types at the same time and forecast estimates at completion by phase. A firm that is doing eight jobs a year does not need that level of detail. What that firm does need, and what generic accounting software will usually not do without help, is a fairly short list:
If a platform covers those five items, it will carry a small contractor a long way. Everything past that list is worth buying only when somebody in the office is actually being paid to look at it.
The accounting sits at the center of this one rather than off to one side, which makes Premier Construction Software a different product from a project management platform that syncs to a ledger. Job costing runs to five levels and tracks actual cost, original estimate, change orders, estimate at completion, and committed cost at once, with the work in progress schedule updating as costs post rather than at month-end.
Best fit: General contractors, owners, and land developers from roughly $5 million upward who want accounting, job costing, and project management in one system.

Pricing: Not published on the vendor’s own site, which routes you to a quote. Public listings agree on $349 per user per month for Starter and on implementation from $15,000 on that tier to $50,000 at the top, but they disagree on the middle of the range, showing between $125 and $299 per user per month. The model is volume-based, so the per-user rate falls as seats rise. There is a 30-day money-back guarantee.
Where it falls short: Premier Construction Software is candid that the very small end of the market is not its target. With a $15,000 implementation floor, a contractor doing $2 million a year pays enterprise onboarding money for capability it will not use for years. It is built for general contractors, owners, and developers rather than specialty trades; payroll runs through an integration rather than in the system; and the older Jonas Premier name still turns up in search results.
Knowify was developed for the firm that has outgrown spreadsheet job costing but has not yet outgrown its bookkeeper. It handles bids, contracts, change orders, time tracking, and AIA billing, and then it pushes the finished transactions into QuickBooks, which remains the book of record. For a commercial subcontractor that is doing progress billing against a schedule of values, that combination covers most of the gap.
Best fit: Commercial subcontractors and small general contractors between roughly $1 million and $10 million.

Where it falls short: Knowify is a layer rather than a replacement. You are still running two systems and paying for both of them, and anything that the sync does not carry across has to be reconciled by hand. Firms that eventually want consolidated multi-entity financials will reach the ceiling of what QuickBooks underneath is able to do, which is a different ceiling from what Knowify is able to do. Residential builders also tend to find it less natural than the estimating-led products, because the workflow assumes a contract and a schedule of values rather than a selections process.
If you ask custom home builders what they actually use daily, JobTread comes up fairly often. The product is organized around the estimate, so you build a detailed budget from a cost catalog; the budget becomes the schedule of values, and actual costs then land against those same line items as the job runs. Client-facing selections and approvals are included, which matters more in residential work than most software buyers expect it to.
Best fit: Residential builders, remodelers, and specialty contractors who price a large volume of work and want the estimate and the job cost to share one structure.
Rating: 4.9 out of 5 on Software Advice from 143 reviews, which is one of the higher scores in the category, although it is on a smaller review base than the incumbents have.
Pricing: $199 per month for the base plan, plus $20 per month per internal user, with per-user discounts starting at eleven users. Annual billing saves approximately twenty percent. There is no setup fee, and there is a 30-day money-back guarantee on monthly plans.
Where it falls short: JobTread is not an accounting system. There is no general ledger, there are no financial statements, and there is no work in progress schedule, so it syncs to QuickBooks, and your accountant stays where he or she already is. If what you need is a real construction ledger rather than better job budgets, this is the wrong shelf to be looking at.
At $49 per user per month, Contractor Foreman costs less than any other credible option here, and it earns the place. The product bundles a very long feature list, somewhere north of thirty modules, into a price that a two-truck operation can absorb. Estimating, scheduling, time cards, daily logs, safety meetings, purchase orders, and basic job costing all sit inside one interface.
Best fit: Small crews and owner-operators who want to get off paper and out of three separate applications without having a real software budget.
Rating: 4.5 out of 5 on Capterra from 835 reviews, which is a large enough review base to take seriously.
Pricing: From $49 per user per month on the Basic plan, with higher tiers adding modules and user counts. A free trial is available.
Where it falls short: The breadth comes at the expense of depth. The accounting side is light; there is no percentage-of-completion revenue recognition and no automated work in progress, and retainage handling is basic. Users also report that having thirty-plus modules on one screen takes a while to get used to, and the reporting is thinner than what a controller would want once there are several jobs running at once. Contractor Foreman is a good first system and a poor last one, so plan on replacing it rather than growing into it.
Foundation Software has been selling to specialty subcontractors for decades, and that history shows up in the payroll module, which is the reason most firms buy the product. Certified payroll, prevailing wage, union fringes, and multi-state withholding are handled properly rather than being bolted on afterward. The rest of the system is a competent construction ledger with job costing built around the same data.
Best fit: Specialty subcontractors, and particularly union shops and firms doing public work with certified payroll obligations.

Pricing: Modular and quoted per business. The company states plainly that it does not offer standard pricing and that customers pay only for the modules they need, with job costing, payroll, purchase orders, and accounts receivable included as core. Expect a quote in approximately the same territory as other mid-market construction systems once payroll volume has been factored in.
Where it falls short: The interface is utilitarian and reads as accountant-first rather than field-first, so project managers and field staff tend to stay out of it and the data entry stays in the office. Firms that scale past roughly $20 million do sometimes find themselves shopping again, usually at the point where multi-entity reporting or heavier project controls arrive. General contractors who need real project management will be adding a second system alongside this one.
Longevity is the main argument here. Sage positions Sage 100 Contractor for small to mid-sized contractors, explicitly including firms that are outgrowing Sage 50, and it covers the full range, including estimating, job costing, payroll, service management, accounts payable, and accounts receivable, all on one database. It has been in the market long enough that finding a bookkeeper who has used it before is not difficult.
Best fit: Established small and mid-size contractors who want one long-lived system and who are comfortable with a reseller relationship.
Rating: Sage’s construction suite averages 4.0 out of 5 on Software Advice from roughly 1,061 reviews, which is the lowest average on this list, and ease of use scores below that overall average.
Pricing: Not published. Sage quotes through its own sales team or through a reseller, typically as an annual subscription priced by named user and by module. Ask specifically what the reseller charges for implementation and for annual support, because that is where the real number lives.
Where it falls short: The interface is dated, and the learning curve is real. The product’s on-premise heritage still shows even in hosted deployments, and because setup usually runs through a reseller, the quality of your experience depends heavily on which partner you happen to get. If your team is expecting a modern web application, the first month will not be enjoyable.
More of the firms reading this use QuickBooks Online than use everything above it combined, and it is still last on the list. That is not a contradiction. QuickBooks is very good general accounting software, and it is where nearly every contractor starts, but it was not designed around jobs, and the workarounds that make it behave like construction software are the reason people eventually leave it.
Best fit: Contractors in their first few years, or firms whose work is small, short, and mostly time and materials.

Pricing: Simple Start is $38 per month, Essentials is $85, Plus is $140 with five users, and Advanced is $340 with twenty-five users. QuickBooks Enterprise, including the contractor edition, is sold separately and costs considerably more.
Where it falls short: There is no native work in progress schedule, no percentage of completion revenue recognition, no retainage tracking, no AIA progress billing, and no certified payroll. Committed costs from purchase orders and subcontracts do not show against a job budget. Each one of those gaps has a workaround, and running five workarounds at the same time is what people mean when they say that they have outgrown it.
For a while it is, and there is no reason to pay for more before you need it. QuickBooks with disciplined project tracking is perfectly adequate for a firm that is running a few jobs at a time on straightforward contracts, and a good number of profitable contractors have never used anything else.
The threshold is not really a revenue number, although the figure quoted most often in this category is around $5 million, and that figure does hold up reasonably well. What actually matters is whether the following things are true:
If two or three of those are true, then the workarounds are costing more in staff time than the software would cost. It is also worth noting that adding a project management platform on top does not solve the problem, because Procore, Buildertrend, and JobNimbus are all capable products but none of them is an accounting system, so you end up maintaining two sets of numbers and reconciling them against each other. That is a common and expensive detour. The real choice is usually between adding a construction-specific costing layer such as Knowify to the ledger you already have, or replacing the ledger with a construction system.
For most small contractors, this argument is settled by circumstance rather than by principle. Field staff need to enter time and see budgets from a phone, office staff increasingly work from more than one location, and the outside accountant wants access without a remote desktop session. Cloud deployment handles all three of those without anybody having to maintain a server.
The cases for a desktop or hosted deployment are narrower, and they are still real. There are firms with genuinely poor connectivity on remote sites, firms with a heavily customized legacy installation that they cannot cheaply rebuild, and firms whose owner simply does not want the financial data sitting on someone else’s infrastructure. Those are reasonable positions. The thing to do is price them honestly, because a server, its replacement cycle, backups, somebody to patch it and the version upgrades all belong in the comparison, and together they usually add up to more than the subscription that people are trying to avoid.
There is also a middle path that is worth knowing about. Several of the older desktop-heritage products, and Sage 100 Contractor is one of them, are commonly sold hosted, which gives you browser access to what is still fundamentally a desktop application. That arrangement works, but it is not the same experience as software that was designed for the browser, and your team will notice the difference.
The subscription is the part that everyone compares, and it is rarely the largest part of the bill. Implementation, data migration, training, and the internal hours that your own people spend on the project tend to add up to more than the license fee does over the first few years, and implementation is normally the biggest single line inside that group. That is a pattern we see rather than a measured average, so treat it as a rule of thumb and make each vendor give you its own numbers.
Here are concrete numbers for a ten-person contractor, so that the shape of the decision is clear:
Budget for the first-year number rather than the monthly one, and ask every vendor for the implementation fee in writing before you compare anything. In our experience, buyers underestimate implementation cost far more often than they overestimate it, and that gap is where software projects go bad.
If you are under $2 million, buy the cheapest thing that gets your costs coded to jobs and your invoices out on time. Contractor Foreman, or QuickBooks with project tracking, is the honest answer at that size, and paying more than that is optimizing something that is not yet your constraint.
From $2 million to $5 million, the decision is usually whether to add a costing layer or to change ledgers. If your billing is straightforward, keep QuickBooks and add either Knowify or JobTread, depending on whether your work is commercial or residential. If you are already doing AIA billing and holding retainage on most jobs, skip the intermediate step, because otherwise you will be repeating this exercise in about two years.
Between $5 million and roughly $50 million is where a construction-specific ledger earns its cost. You have a controller, you have several project managers who need live budget data, and you have enough concurrent work that reconstructing everything at month-end stops being viable. Specialty subcontractors with union or certified payroll obligations should look hard at Foundation Software. Firms that want one long-lived system with an on-premises heritage will land on Sage 100 Contractor. Whatever ends up on your shortlist, ask the vendor two unglamorous questions before you sign anything. The first is who owns the data and how you get it out if you leave. The second is what happens to access control when somebody leaves the company. On that second question, published federal guidance for small businesses is blunt about the baseline, which is to require multi-factor authentication to reach anything sensitive on your network. A fair amount of construction software still treats that as optional.
There is no best construction accounting software in general; there is only a best fit for the size and the shape of the work that you do. If a $1.5 million remodeler and a $40 million general contractor buy the same system, then one of them has wasted money, and the other one is going to be shopping again shortly.
Get your revenue band right, be honest with yourself about whether you are actually doing AIA billing and holding retainage, and price the first year rather than the first month. The firms that get this decision right tend to be the ones that bought slightly ahead of where they were, rather than several years ahead of where they were.
